Limited Company: How to submit the BOF1 Form via eCitizen.

1: Sign in to your eCitizen account.

2: Go to My Businesses → View → Maintain Company.

3: Click Beneficial Owner → Change Particulars → Change of Officials.

4: For each director, click Update B.O. (do not change anything), then Save and Continue.

5: Download the BOF1 form, sign it, and send it to us via WhatsApp or email.

Also include these documents when submitting your form:

For each Beneficial Owner:

  • Copy of ID or Passport

  • KRA PIN Certificate

  • For minors: Birth Certificate

For the company: 

  • Current CR-12 (issued within the last 90 days) 
    *If you already sent CR-12 and ID/PIN this year, you do not need to resend.

 


Sole Proprietor, Partnership, NGO, Church, etc.: How to submit the Self-Declaration Form.

1: Download the Self-Declaration Form or request from Kopo Kopo.

2: If you do not have access to a lawyer or commissioner of oaths, just sign your section. Safaricom’s legal team will notarize it for you.

3: Send the signed form to Kopo Kopo via WhatsApp or email.

1.  Who is a Beneficial Owner?

A Beneficial Owner is any natural person who:

  • Owns or controls at least 10% of the business (directly or indirectly).
  • Has voting power of 10% or more.
  • Can appoint or remove directors.
  • Has a significant influence over business decisions.

2. What is a Beneficial Ownership Declaration Form?

There are two key forms that help identify the owners of a business:

  • Self-Declaration Form – Provided by Kopo Kopo, this form identifies the individuals who ultimately own, control, or benefit from your business.
     
  • Beneficial Ownership Form (BOF) – This is a document you download from eCitizen after filing your company’s Beneficial Ownership details. It confirms the same information and is required for limited companies registered on eCitizen.

3. Why do I need to submit this information?

Submitting beneficial ownership details is required to:

  • Meet Anti-Money Laundering (AML) and Counter-Terrorism Financing (CTF) laws.
  • Align your business with Safaricom’s Lipa na M-PESA requirements.
  • Promote transparency in business operations.

4. Who is required to submit the forms?

a) Self-Declaration form;

All registered businesses with a Certificate of Registration (COR) must comply. This includes:

  • Sole Proprietors
  • Partnerships
  • Churches
  • Saccos
  • NGOs
  • Self-Help Groups
  • Insurance Companies
  • Trustees and similar entities

b) BOF 1 form;

  • Filled by Limited companies

5. When is the deadline?

  • Self-Declaration Form: Submit by 31st March 2025 to avoid any interruptions to your Lipa na M-PESA services.
  • BOF1: If your company has not submitted the form, you are currently non-compliant.
